GSF Motorworks Ltd – Introduction to our privacy policy
This document will inform you of the way we manage the personal information you share with us, either through a face to face interaction, a conversation on the phone, through a form that you may fill in on our website or physically handover to our reception or through an e-mail, text or other form of electronic message.
Even though this document has been specifically put together to address the requirements of the General Data Protection Regulation which is in effect from May 25th 2018, we at GSF Motorworks are happy that we have always been treating your personal information in a way that is in line with these regulations.
We are the controller responsible for any personal information that exists in our customer database. We have appointed a Privacy Officer who can be contacted in relation to this privacy notice, or for any request you may have in the first instance, as follows:

The data we collect about our customers and their vehicles relate strictly to information which we need in order to carry out the services we have been authorised to by them. These include information about the vehicle (Registration number, Chassis number, mileage, service history, etc) as well as about the owner of the vehicle (name, address, contact telephone number) and these appear on the job card we generate for every customer request. We retain this information for at least 5 years as the law requires.
We also record financial transactional data relating to the payments we have received for your services, however we DO NOT retain details of any payment cards used. Finally, we do keep a record of the customer preferences regarding any communications initiated by us.
The information we hold in our customer database is not managed by any third party vendor and it is only accessible by the people authorised by the company. These are stored in secure servers and what concerns paper, in a secure location.
The customer information we hold is used as follows:
- Contact information is used to primarily contact the customer when their vehicle is in our premises, however it can be used prior to this (e.g. collection of the vehicle) or after this period (follow up work, customer satisfaction surveys, etc). We also use the customer contact details to inform them about essential work that needs to be done on their vehicle (MOT, Scheduled maintenance) which promotes our genuine commitment to health and safety. Occasionally, we do send out newsletters (maximum 3-4 yearly) and also promotional communication to some of our customers, depending on the type of the services they use.
- Information about the vehicle is used to ensure that the services we offer are customised for the particular type of vehicle and we share this information only with suppliers in order to source the right spare parts or services. We never reveal externally any information that relates to the owner of the vehicle.
- Financial transactional data is only retained for the purposes of the payment process, management of account customers and reporting for accounting purposes.
Customers have the right to request a copy of the information that GSF Motorworks holds about them. They can also request correction of their information as well as, under certain circumstances, restriction of processing of their personal information.
